Comparative Market Analysis
Divine Property Management LLC will constantly evaluate the rental market to ensure that your units are priced appropriately. When rents are set too low, there will be an obvious loss of income. When rents are set too high, properties will take longer to rent, and the income that is loss during vacancies will ultimately negate any gains the investor will hope to realize from the higher rental rates.
Advertising & Marketing
In addition to posting vacancies on our web site, we are able to list them in the MLS (Multiple Listing Service), among other free websites. Additional advertising can be requested at the owner’s expense. We ultimately create a customized advertising package for your property.
Property Showings
Our Leasing agent will promptly show vacant units to prospective tenants at their convenience.
Tenant Screening
We understand that finding and retaining quality tenants is crucial to the financial success of any investment property. Each candidate is required to complete a comprehensive lease application. Once a prospective tenant submits an application, background & credit checks are completed. Rental history, employment and income verification, reference checks, and other due diligence services are provided to determine prospects rental eligibility.
Lease Preparation & Signing
After an applicant is found to be a good risk then a Lease Agreement may be extended. Our leases have been drafted to help protect the owner from problematic tenants.
Property Preparation & Maintenance
Our professional maintenance staff and work crews will make sure that your properties are prepared for new tenants by cleaning, making any necessary repairs, or needed improvements prior to occupancy. Preventative maintenance, rehabs, renovations, and other types of make ready services are also available to provide substantial cost saving to our clients.
Property Move-in Inspections
Once a property or apartment is rented the property manager will conduct a move-in inspection with the new tenant and document the condition of the unit prior to tenant occupancy. A detailed move-in report including pictures will then be placed in the tenants file for future reference.
Emergency Maintenance Service
Our client’s and their tenants can have peace of mind that our property managers and maintenance staff are on call 24 hours a day to handle any maintenance issues or emergencies that may occur. Tenants can place an emergency work order via our 24/7 answering service, and a property manager and maintenance technician will respond within an hour. Maintenance work orders are completed 7 days a week.
Maintenance & Housekeeping Inspections
Properties are inspected for housekeeping issues once a year, however if requested they can be inspected every six months. Tenants are notified via mail 14 days in advance that an inspection is scheduled for their property. If the tenant does not make the unit readily available, necessary steps will be taken to gain entry and inspect the condition of the property.
Routine preventative maintenance inspections and evaluations are performed once every month, while maintenance work orders are completed 7 days a week. This could mean a phone call is made to the tenant, contact through email or letter and even a drive-by is made to the property. This helps to ensure that the property is being well kept, and greatly reduce the signs of immediate danger, or other problems that require attention. Our highly experienced maintenance personnel can respond to state, county, and city code enforcement issues/violations which not only save money, but saves hours of time and frustration.
Move-out Inspections
After a property is vacated, the tenant will have to schedule a move-out inspection with their property manager to identify any damage that may have occurred over the course of the lease. Any items that are not normal wear and tear will be noted on the move-out inspection report and deducted from the tenant’s security deposit.
Financial Reporting & Bookkeeping
Financial statements are provided to all clients on a monthly basis. These statements will include an income statement, balance sheet, and a tenant rent roll with collection status. You will also receive copies of completed wok orders for the month. Our bookkeeping services include both accounts payable and receivables. Client’s can be assured that their rent monies will never be commingled with our own funds or another investor’s. Separate accounts such as Security Deposits, Broker’s Trust (Owners) and Operations are set up and all financial business is conducted from the respective account
Collection of Monthly Rent
Monthly rents are due on the first day of each calendar month. Leases permit a five day grace period in which rent can be paid with no penalty. If monthly rents are not receive in full by the fifth day of the month in which it is due, all applicable penalties and late charges will be applied to the tenants account. A three day notice will also be served to the tenant or posted prior to the close of business on the sixth day.
Evictions & Legal Actions
In the event that no remedy is made with the tenant by the eleventh day of the month, Divine Property Management LLC. will begin the eviction process. In the unfortunate event that tenancy is terminated through legal action we will work diligently to recover damages, and as much unpaid rent as possible.
Security Deposits
Security deposits are collected upon lease signing and are kept in accordance with all applicable state laws. Once a tenant has vacated a property, and the final expenses have been reconciled, the balance of the security deposit along with an accounting of any deductions will be returned within the statutory time limit which is 21 days from the time out move out.
